Email Signature Setup Guide
A professional email signature ensures consistent branding across all outgoing messages.
Outlook Desktop
- Go to File > Options > Mail > Signatures
- Click New and name your signature
- Paste or type your signature in the editor
- Set it as the default for new messages and replies
- Click OK
Outlook on the Web
- Click the gear icon (top right) > View all Outlook settings
- Go to Mail > Compose and reply
- Create your signature in the editor
- Check the boxes for new messages and replies/forwards
- Click Save
Recommended Format
Check with your manager for the approved company signature template. A typical format includes:
- Full name and title
- Phone number and email
- Company logo (if provided)
- Company website
